How to manage identities in Outlook for Android

There are two IMAP accounts set up on an Android phone, let's call them primary@example.com and catchall@example.com. Android1 and Android2 are people who need to have access to both of the addresses, and whenever Android1 responds to an email sent to primary@, Android2 needs to be informed somehow that the email was responded to. Therefore, Android1 decides that whenever they reply to an email sent to primary@, they will BCC the primary@email address.

However, Android2's phone isn't robust enough to handle all the incoming messages sent to primary@ and catchall@, so they decide to remove the primary@ email mailbox from Outlook. However, they still want to be able to use primary@ as a "Reply-from" email address. Is there a way to do that? I did some searching and apparently the ability to manage identities isn't a thing in Outlook for Android?

    Hello,

Thank you for reaching out with your question about managing identities in Outlook for Android I understand how important it is for your team to maintain flexibility when replying from specific email addresses while keeping devices optimized for performance. Unfortunately Outlook for Android does not currently support removing an account while still using its address as a reply-from identity. This limitation exists because the app requires the account to remain configured in order to send messages from that address.

As an alternative you can keep the primary mailbox active but disable sync for emails and calendar to reduce the load on the device. This way the account remains available for sending replies without overwhelming the phone with incoming data. Another option is to explore email clients that offer more advanced identity management features if this functionality is critical to your workflow.

Would you like guidance on how to disable sync for the primary account in Outlook for Android?

I hope this answer is helpful if you have further questions feel free to reply back

    Regards,

    Marcelo

In Outlook for Android, the ability to manage identities, such as using multiple email addresses for sending replies, is somewhat limited. While you can set up multiple accounts, the app does not currently support the feature to manage identities in a way that allows you to remove a mailbox while still using its address as a "Reply-from" email address.

This means that if Android2 removes the primary@example.com mailbox from their Outlook app, they will not be able to use that address as a reply-from address in the app. The app does not provide a way to send emails from an account that has been removed from the app, as it requires the account to be set up to send emails from it.

If managing identities is crucial for your workflow, you might consider alternative email clients that offer more robust identity management features or keep the primary@example.com mailbox active in Outlook for Android to maintain the ability to reply from that address.
