Transfer ownership of shared calendar

I am currently the owner of a shared calendar we use for our training program. Each time a new employee starts, I am required to share permissions with the new employee. This creates a problem if I am on leave when a new employee starts. I would like my other two team members to be able to share with new employees while I am gone on leave and ultimately, after my retirement. How can I manage this?

To manage the ownership and sharing of a calendar in Outlook so that your team members can share it with new employees while you are on leave or after your retirement, you can delegate access to your calendar. By delegating your calendar to your team members, they will have the ability to manage permissions and share the calendar with others.

Here are the steps you can follow:

    1. Delegate Access: You can delegate your calendar to your team members. This will allow them to view and manage your calendar, including sharing it with new employees.
    2. Set Permissions: When you delegate your calendar, you can specify the level of permissions your team members will have. For example, you can allow them to view all details of events and manage sharing permissions.
    3. Accept Delegation: Your team members will need to accept the delegation invitation to gain access to your calendar.

By setting up delegation, your team members can take over the responsibility of sharing the calendar with new employees, ensuring continuity even when you are not available.

For more detailed instructions on how to share or delegate a calendar in Outlook, you can refer to the Microsoft documentation.

    Hi @Houkom,Sue

Thank you for posting your question to the Microsoft Q&A forum.

Based on your description, by default, delegates can only create or cancel meetings on your calendars, but they cannot grant or change who the calendar is shared with. Only the calendar’s owner or an Exchange Online admin can change calendar folder permissions.

To work around this, I would recommend creating a shared mailbox (e.g., ******@company.com) as the single source for the training program. Assign your two teammates Full Access and Owner rights to that calendar. From then on, any mailbox owner/admin of the shared mailbox can share the calendar to new employees on day one, which is independent of your personal account.

Please follow these steps to create a shared mailbox:

    1. Sign into the Microsoft 365 admin center, go to the Teams & Groups > Shared mailboxes page.

    User's image

    1. On the Shared mailboxes page, select + Add a shared mailbox. Enter a name for the shared mailbox. This chooses the email address, but you can edit it if needed.

    User's image

    1. Select Save changes. It may take a few minutes before you can add members.
    2. Under Next steps, select Add members to this mailbox. Members are the people who will be able to view the incoming mail to this shared mailbox, and the outgoing replies.

    1. Select the Add members button. Select the people who you want to use this shared mailbox, and then select Add. and then close.

I hope this information is helpful. Please follow these steps and let me know if it works for you. If not, we can work together to resolve this.

Thank you for your patience and your understanding. If you have any questions or need further assistance, please feel free to share them in the comments on this post so I can continue to support you.

I look forward to continuing the conversation.
